Signups provides opportunities for users to select desirable times from a list of available time slots. For example this may be used for having invited participants pick an interview time from options offered by those conducting the interview or it could be used to have members select a service time.
Configuration options include:
- Defining start and end date/times when participants can make their time selection
- Specifying the maximum number of people that can select a particular time slot (currently all time slots in a Signup have the same max capacity)
- Defining time slots manually using a web form
- Bulk import of time slots by uploading a spreadsheet
- Inviting participants (specified by UIN)
Reporting options include:
- List of all defined time slots
- List of all invited participants
- List of all scheduled participants (those who have selected a time). This list also provides options for filtering and exporting the filtered results to a downloaded spreadsheet.
Future Ideas:
- Reminders – Send emails to those invited to participate who have not yet selected a time.
- Alternate methodology – Currently only “Single Appointment” is enabled that lets a person pick just one option (like selecting a seat on an airplane). Eventually an “All Available” option is planned that would let a person select all slots they are available so the selections of multiple people can be compared to find a time that best fits everyone’s schedule (like finding a time that works for all/most of the interview team).
- Not “Invite Only” – Currently only an “Invite Only” mode has been tested that prevents uninvited people from selecting times. Eventually, the option is planned to allow selections by anyone provided the private link without having to have every possible participant pre-authorized in the system. For example, an organization to send the link to everyone who attended an informational to sign up to volunteer for a special service event. The volunteers could in turn forward the link to friends who might also be interested in helping serve during a shift.
