Gatekeepers are the keepers of the gate into your events. That is, they are those who are authorized to record attendance for your events. Gatekeepers can be authorized to perform this function in either of two ways:
- Current members can be authorized to perform check in for all organization events.
- Individuals, including those who are not members of the organization, can be authorized to perform check in for a single event.
All Event Authority
The list of gatekeepers shows “All” as the scope of authority for any current member who has been granted this authority. Only people who are on the membership roster in Get Involved are considered “current members”. Gatekeepers who are authorized based on their membership will become unauthorized when that membership ends.
To grant “All” authority to a member, click the “Add Gatekeepers” button. All members who do not yet have this authority will be listed. Check the box left of the members’ names who are to be given this authority, then click the “Save” button.
Single Event Authority
If the scope of authority is not “All”, the person can only serve as a gatekeeper for the specified events rather than for all events sponsored by this organization. This authority ends when the event ends. Although authorized gatekeepers are listed on the Gatekeepers page, granting authority for a single event is not done on this page.
To authorize someone as a gatekeeper for a single event, you will need use a QR code. This code can be found by going to the event’s administrative detail page, then to the “Tracking Attendance” or “Manage Attendance Settings” page. Find the QR code in the “Gatekeeper Code” column for the event occurrence you want to grant authorization for. Clicking the code will open a window with a large version of the QR code. You can display this on a mobile device for the new gatekeeper to scan, you can print this for multiple gatekeepers to scan before they start checking people in, or you can copy the graphic onto a presentation slide to be used when training gatekeepers in advance of your event. Anyone who scans the QR code and follows the instructions to log into Get Involved will be immediately authorized to perform check in.
Recording Attendance
An authorized gatekeeper can begin checking in attendees by logging into Get Involved, then clicking the “Dashboard” link at the top of the home page. The next page will have a “Check Ins”section with a button to “View Check In”. Selecting this will list all events for which they are authorized. Any event occurring within 72 hours of the present time will have a “Check In” button that can be clicked to immediately begin check in.
