[{"id":770,"date":"2026-04-08T23:54:32","date_gmt":"2026-04-09T04:54:32","guid":{"rendered":"https:\/\/help.dsasites.tamu.edu\/getinvolved\/?page_id=770"},"modified":"2026-04-09T00:20:47","modified_gmt":"2026-04-09T05:20:47","slug":"create","status":"publish","type":"page","link":"https:\/\/help.dsasites.tamu.edu\/getinvolved\/admin\/events\/create\/","title":{"rendered":"Add Event"},"content":{"rendered":"<h3>Theme<\/h3>\n<p>Most events have a time and place where the activity will occur. However, a special option is to create a &#8220;Theme&#8221; event without time and place that can be used to define a collection of affiliated events, including those hosted by other organizations. This may be done either for joint marketing or for aggregated reporting. For example, multiple organizations may host separate events that are jointly marketed under a &#8220;Hispanic Heritage Month&#8221; theme hosted by the Hispanic Presidents Council. A &#8220;Howdy Week&#8221; theme hosted by Student Life can promote a collection of events hosted by various Student Affairs departments and student organizations to welcome incoming students throughout the week preceding fall classes in August.<\/p>\n<p>The option as to whether a new event is a &#8220;Theme&#8221; cannot be changed after the event has been initially created.<\/p>\n<p>You can select a &#8220;background color&#8221; for a &#8220;Theme&#8221;. This color will be used as the background for a special banner ribbon shown on all affiliated event pages that unifies presentation of the event collection.<\/p>\n<p>Although a &#8220;Theme&#8221; does not have a time or place, it must have start and end dates which should typically encompass all affiliated events, although an affiliated event can occur outside the date range. For example, &#8220;Hispanic Heritage Month&#8221; which runs from September 15 to October 15 each year could have an affiliated &#8220;Dia De Los Muertos&#8221; event (a significant Mexican cultural observance) that is traditionally celebrated two weeks later on November 1.<\/p>\n<p>Once a Theme is created, an organization can easily affiliate it with other events hosted by the organization on the Event edit page, if the event falls within the date range of the Theme. The &#8220;Affiliations&#8221; option on the &#8220;Events&#8221; admin submenu can be used to associate events occurring outside the Theme&#8217;s date range and to request affiliation with events hosted by other organizations. Affiliations between organizations require both organizations to consent to the affiliation.<\/p>\n<h3>Visibility<\/h3>\n<p>An event cannot be promoted until it has been approved and made public. Student organizations must first submit an event planning form and have it approved by their advisor. Upon approval, &#8220;Visibility&#8221; can be changed from &#8220;None&#8221; to the intended audience.<\/p>\n<ul>\n<li>Public &#8211; Shown to any visitor to the site, even if not logged in. This is the usual setting to maximize promotion to all potential audiences.<\/li>\n<li>All Users &#8211; Only shown to users who have successfully logged into the site (anyone with a NetID including TAMU students, faculty, staff, and certain associated partners).<\/li>\n<li>Current Org Members &#8211; Only shown to users who are on the organization&#8217;s membership roster in Get Involved. This requires maintaining the roster in Get Involved.<\/li>\n<li>Invited Users Only &#8211; Not shown to anyone unless they have the event-specific link.<\/li>\n<\/ul>\n<p>Note: Although an event may be promoted publicly, the RSVP function, if enabled for the event, is only available for users who can login with a NetID.<\/p>\n<h3>Occurrences<\/h3>\n<p>An event can have multiple instances of the same activity with different dates, times, and places. For example, recurring hour-long weekly meeting should not be configured as starting September 1 at 7 pm through November 17 at 8 pm (78 days in length), rather it should be configured as starting September 1 at 7 pm and ending at 8 pm, with subsequent one-hour occurrences on September 8, 15, 22, &#8230; Alternatively, occurrences can be used to offer repetition of an an activity in a much shorter period of time such as a workshop repeated at 10:30, 1:30, and 3:30 on the same day (where the morning session may be in a different room than the afternoon sessions).<\/p>\n<p>The first occurrence can be defined when adding the new event. After saving the first occurrence, additional occurrences can be easily added. Checking the box for &#8220;There are additional occurrences&#8221; when first creating the event will keep you on that page after saving so you can easily add additional occurrences. When adding an occurrence, the times and location is copied from the last occurrence that has already been defined.<\/p>\n<p>Each occurrence can also have a distinct label (like as subtitle) and description. This lets you designate the topic or featured speaker (as the label) for a given week and provide the bio of the guest speaker (as the description) for that week.<\/p>\n<p>All occurrences will use the same event image and visibility for promotion. An occurrence can be split off as a &#8220;Secondary&#8221; event related to the primary event to allow use of a different promotional image or visibility setting.<\/p>\n<h3>Location<\/h3>\n<p>An event must have a location specified using the &#8220;Pre-Defined&#8221; and\/or &#8220;Enter Your Own&#8221; location fields.<\/p>\n<ul>\n<li>Pre-Defined &#8211; Many on-campus buildings and common outdoor venues are already defined. Selecting a location from the lookup list will offer a map on the public event page so guests can find the venue.<\/li>\n<li>Enter Your Own &#8211; This can be a room number within the &#8220;Pre-Defined&#8221; on-campus location or it can be an off-campus street address or name of a popular activity venue. This option will not offer a map.<\/li>\n<\/ul>\n<p>You can use both in tandem. For example, the &#8220;Pre-Defined&#8221; location may be &#8220;Memorial Student Center&#8221; and the &#8220;Enter Your Own&#8221; may be &#8220;2400&#8221;. This will be shown publicly as &#8220;Memorial Student Center 2400&#8221; with a map showing where to find the building on the TAMU campus. Alternatively, the &#8220;Pre-Defined&#8221; location may be &#8220;Zoom&#8221; with the virtual room ID in the &#8220;Enter Your Own&#8221; field (with no map offered).<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Theme Most events have a time and place where the activity will occur. If this option is selected, the selection tool will attempt to select up to half of the maximum number to be male with the other half female. Depending on the preferences chosen by the freshmen and other FLOs, it is possible there will not be enough applicants to achieve the balanced selection result. The tool will not exceed half for one type to make up the shortfall of the other type. For example, to reach a balance maximum of 40, at most 20 male and 20 female will be selected. If only 10 males are available, the system will still only select 20 female for a total of only 30, failing to achieve the goal of 40.<\/p>\n<blockquote>\n<p style=\"padding-left: 40px\"><span style=\"color: #800000\"><strong>TIP:<\/strong><\/span> If you want to maximize selection of one type though it is insufficient to achieve 50% of the total selection and still reach your overall goal, raise your maximum target. For example, in the above example, raising the maximum from 40 to 60 will still result in only 10 male (since that&#8217;s the most available), but could result in selection of 30 female (half of the revised maximum), for a total of 40. Choosing a unbalanced maximum of 40 could yield a different result such as only 5 male and 35 female, if preferences of the females are higher than for some of the males.<\/p>\n<\/blockquote>\n<h2>Preferences<\/h2>\n<p>A preference must be indicated for every applicant. How many of each preference have been selected will be indicated just below the column heading.<\/p>\n<p><em>Primary<\/em> &#8211; Choose at most the &#8220;Maximum Members&#8221;.<\/p>\n<p><em>Secondary<\/em> &#8211; Choose everyone you would be willing to accept as members.<\/p>\n<p><em>Decline<\/em> &#8211; Choose those who you do not want to accept as members.<\/p>\n<p><em>Undecided<\/em> &#8211; This column should have none selected by the time the final selection process commences.<\/p>\n<h2>Preview Selection<\/h2>\n<p>You can preview the selection results based on current preferences of all freshmen and other FLOs. Note these results may change as freshman and other FLOs continue to adjust their preferences.<\/p>\n<p>In the final selection process, the ability to adjust preferences will be turned off for all freshman and FLOs. Get Involved is used as the selection platform for all phases of the selection process.<\/p>\n<p>Within each FLO, the Chief Student Leader, Treasurer and Primary Advisor are authorized to perform all selection functions not reserved for FLAC leadership.<\/p>\n<h2>Before applications open<\/h2>\n<p><strong>Freshmen<\/strong><\/p>\n<ul>\n<li>Attend\/view the All-FLO Informational.<\/li>\n<\/ul>\n<p><strong>FLOs<\/strong><\/p>\n<ul>\n<li>Membership Roster\n<ul>\n<li>Ensure old members have been removed. Add new members who will need to participate in the application review process.<\/li>\n<\/ul>\n<\/li>\n<li>Freshman Member Position\n<ul>\n<li>Update short and long descriptions of the freshman position to include current expectations, process and deadlines. Set open\/close dates to match timeline defined by FLAC. Set &#8220;Max in Position&#8221; to target for the upcoming year.<\/li>\n<\/ul>\n<\/li>\n<li>Application Questions\n<ul>\n<li>Create a new form based on the previous year by using the &#8220;Copy Form&#8221; button. This will carry forward correct settings for the form. A new FLO should create a new form with the correct settings.<\/li>\n<\/ul>\n<\/li>\n<li>Application Review\n<ul>\n<li>Create a new review matching the configuration from the previous year.<\/li>\n<li>Scoring rubric<\/li>\n<li>Add members who will need to review and score applications as Reviewers<\/li>\n<\/ul>\n<\/li>\n<li>Agreements\n<ul>\n<li>In addition to the standard FLAC agreement used by all FLOs, some FLOs have their own agreement(s) such as a behavioral agreement that is to be signed by all applicants.<\/li>\n<li>Let IT know if any changes are made (including to add, remove, or replace an agreement) since the selection workflow will need to be updated accordingly.<\/li>\n<\/ul>\n<\/li>\n<li>Public Homepage\n<ul>\n<li>Use customization settings to present the organization as desired. Verify contact description, information, social media links, and other content is up to date.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>FLAC<\/strong><\/p>\n<ul>\n<li>Settings\n<ul>\n<li>Set planned Freshman Preferencing and FLO Preferencing start\/end times. Initially, they need to be set to future dates. They can be adjusted later.<\/li>\n<\/ul>\n<\/li>\n<li>Application Questions\n<ul>\n<li>Review all FLO application forms to verify any common questions are present and all questions are appropriate.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>IT<\/strong><\/p>\n<ul>\n<li>Homepage Features\n<ul>\n<li>Update the &#8220;Join a FLO&#8221; feature to start when FLO applications open and to close when applications close.<\/li>\n<li>Updated the &#8220;Track My FLOs&#8221; feature to start when FLO applications close and to close after final decisions are expected to be announced.<\/li>\n<\/ul>\n<\/li>\n<li>Workflows\n<ul>\n<li>Update workflow elements for each FLO to use new forms and reviews.<\/li>\n<\/ul>\n<\/li>\n<li>Verify all FLO positions have correct open\/close times.<\/li>\n<\/ul>\n<h2>After applications open<\/h2>\n<p><strong>Freshmen<\/strong><\/p>\n<ul>\n<li>Complete and submit applications for all desired FLOs.<\/li>\n<li>Verify application status using the My FLOs tool.<\/li>\n<\/ul>\n<p><strong>FLOs<\/strong><\/p>\n<ul>\n<li>Application Review\n<ul>\n<li>Begin reviewing applications as they are submitted rather than wait until after the deadline. This verifies all reviewers have proper access while IT is available to assist well before the deadline in case support is needed.<\/li>\n<li>Lead Reviewer should monitor progress to ensure each reviewer is contributing appropriately.<\/li>\n<\/ul>\n<\/li>\n<li>Interview Signups\n<ul>\n<li>Create signup using previous year as a guide. Include a description that sets expectations such as to arrive 5 minutes before scheduled time, appropriate attire to wear, etc.<\/li>\n<li>Use the export\/import functions to load all time slots. Do a fresh export before each import.<\/li>\n<\/ul>\n<\/li>\n<li>If a FLO has more than one round of interviews, an additional Review needs to be created, and IT will need to be informed when ready to be integrated with the workflow configuration.<\/li>\n<li>Email reminders to applicants having an &#8220;initiated&#8221; (not submitted) applications the day before the submission deadline.<\/li>\n<\/ul>\n<p><strong>FLAC<\/strong><\/p>\n<ul>\n<li>Email Messages\n<ul>\n<li>Update messaging templates for acceptance or rejection for interviews and for final selection decisions.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>IT<\/strong><\/p>\n<ul>\n<li>Update workflow elements for each FLO to use new signups.<\/li>\n<li>Work with any new FLOs to implement full configuration of workflow.<\/li>\n<li>Verify FLO Signups have correct open\/close times and\u00a0are tagged for Invite Only and to Detect Conflicts<\/li>\n<li>Verify FLAC settings reference correct message templates.<\/li>\n<\/ul>\n<h2>After applications close<\/h2>\n<p><strong>Freshmen<\/strong><\/p>\n<ul>\n<li>Wait for decision.<\/li>\n<\/ul>\n<p><strong>FLOs<\/strong><\/p>\n<ul>\n<li>Application Submissions\n<ul>\n<li>Each FLO can decide if they want to accept late applications on a case-by-case basis (rarely done). If they choose to accept, use the &#8220;Invite a Member&#8221; function on the Positions admin page to send a personalized single-use link that allows the recipient to initiate a new application or continue an existing one.<\/li>\n<\/ul>\n<\/li>\n<li>Application Review\n<ul>\n<li>All Reviewers complete scoring of all applications.<\/li>\n<li>Lead Reviewer uses the Decision function to indicate whether to Accept or Decline each applicant.<\/li>\n<li>When all Accept\/Decline decisions are completed and are certain, &#8220;Process&#8221; the decisions. This step cannot be undone, so verify the decisions before processing. This will add accepted applicants to the invite list for interview signups.<\/li>\n<\/ul>\n<\/li>\n<li>Interview Signups\n<ul>\n<li>Verify there are more time slots available than the number of people accepted for interview.<\/li>\n<li>Consider setting an absolute or relative modify deadline.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>FLAC<\/strong><\/p>\n<ul>\n<li>Verify Freshman Preferencing is set to start at the same time as Signups open. While holding to consistent standards, the site can be highly customized to reflect your organization&#8217;s character and opportunities.<\/p>\n<ul>\n<li>If you have permission to edit your organization&#8217;s page, when you are logged in and viewing the organization&#8217;s home page, there will be a <i class=\"fa-solid fa-pen-to-square\"><\/i> Settings link that takes you to the <a href=\"https:\/\/help.dsasites.tamu.edu\/getinvolved\/admin\/organization\/\">Public Settings<\/a> in the Admin section. There you can edit much of the organization&#8217;s appearance and content, including logo, background color, and links. Some sections on the page are controlled automatically by what positions, events, and forms are currently posted for the organization.<\/li>\n<li>Some of the information is also taken from the organization&#8217;s recognition Profile page including the year founded, contact information, and membership information.<\/li>\n<li>When people search for your organization on a public search engine, your organization&#8217;s Get Involved page is usually one of the very top results and is probably ranked above your organization&#8217;s own web site. Make your page represent your organization well!<\/li>\n<\/ul>\n<h3>Personalized Recommendations<\/h3>\n<p>Get Involved offers recommendations of organizations to every student based on their personal interests and interactions within the platform.<\/p>\n<ul>\n<li>Select <a href=\"https:\/\/help.dsasites.tamu.edu\/getinvolved\/admin\/organization\/#tags\">interest tags<\/a> that best represent what your organization is about.<\/li>\n<li>As more students interact with your organization in Get Involved, the more Get Involved will be able to make good recommendations for others who are waiting to discover your organization.<\/li>\n<\/ul>\n<h3>Club Crawl<\/h3>\n<p>Though historically an in-person rather than an online recruiting event, Get Involved now partners with <a href=\"https:\/\/help.dsasites.tamu.edu\/getinvolved\/club-crawl\/\">Club Crawl<\/a>, the official involvement festival at Texas A&amp;M, to help students engage with organizations registered for the event.<\/p>\n<ul>\n<li>Registered organizations are automatically promoted on Club Crawl sites as students prepare to engage with that event.<\/li>\n<li>Students are encouraged to check out the organization&#8217;s pages in advance and to mark the organizations that are of interest. Once each event is approved by your advisor, be sure to change the visibility so others can see it listed. In addition to publicizing your event, Get Involved lets you do much more with events.<\/p>\n<h3>Memberships<\/h3>\n<p>If you manage your memberships within Get Involved, the platform will be able to recognize the kinds of students interested in your organization and can use that knowledge to recommend your organization to other students with similar interests. Only positions that have a\u00a0<i class=\"fas fa-map-marker-alt\"><\/i> marker in the &#8220;Status&#8221; column can be changed using a bulk action.<\/p>\n<h2>Check Eligibility<\/h2>\n<p>This option lets you see which members meet eligibility standards associated with their position. Eligibility requirements can check many combinations of factors such as whether the member is currently enrolled as a student, is enrolled in a graduate-level program, or whether a person is employed full-time. The result of the bulk check will simply indicate &#8220;Pass&#8221; or &#8220;Fail&#8221; for each member.
